Job Description: Position Title: Payroll Specialist

Qualifications/Certification:

Proficiency in Microsoft and Google Suite
1-3 years’ experience working in payroll required
Experience processing payroll in a school setting strongly preferred
Strong organizational, interpersonal and decision-making skills
Ability to work independently
Excellent math aptitude including arithmetic formulas
Technically proficient with computers and computer systems (including hardware and software) to enter and manipulate data accurately
Ability to effectively communicate verbally and in writing
Ability to deal courteously and tactfully with school personnel and the public
Ability to maintain high level of confidentiality
Ability to exercise initiative, independent judgment and discretion in performing duties

Reports To/Supervised By: Human Resources Manager

Responsibilities:

Process bi-weekly payroll to include administration of direct deposit & taxable fringe benefits.
Pay payroll taxes; bi-weekly and quarterly.
Run/Process federal, state and local monthly, quarterly, fiscal and calendar reports for payroll and budgetary systems.
Reconcile and Process W-2s.
Process withholding and payment of employee voluntary deductions; bi-weekly, monthly and quarterly.
Process employee transfer/termination/retirement paperwork.
Manage PSERS retirement notifications, updates and monthly reporting.
Maintain integrity of payroll/personnel database.
Keep the back-up person(s) responsible for payroll processing in your absence up to date with system and procedure updates
Perform background studies and analyses for contract negotiations.
Maintain proficiency and up-to-date knowledge of payroll laws and regulations including, but not limited to, state and federal payroll and wage laws and the Affordable Care Act and apply them to current practices
Provide strong administrative support to Human Resources Manager and Business Administrator for various projects
Perform fiscal and calendar year roll-overs
Maintain annual payroll calendars/schedules
Prepare and update wage/benefits budget
Process miscellaneous payroll/benefit related billings and surveys.

Secondary/Related Responsibilities:

Backup for Benefit/Personnel Specialist position
Maintain various salary and benefits reports for the Business Administrator.
Maintain medical/benefit/confidential portions of employee files
Provide backup support to Accountant.
Assist in preparation and update budgets related to specific federal and state grants
Perform other duties as assigned.

Physical Requirements of Job:

Lifting and carrying binders and boxes containing payroll/personnel records.
